Who we are

CRM Mates Ltd ("CRM Mates", "we", "us", "our") is a company registered in England and Wales. Our registered office is at 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ. We operate the website at www.crmmates.com.

What data we collect

When you use our contact form, we collect:

  • Your name and email address
  • Your phone number (if provided)
  • The content of your message
  • The service you are enquiring about
  • Your IP address (for security and spam prevention)

We also collect standard web server logs (IP address, browser type, pages visited) via our hosting provider.

How we use your data

We use the information you provide to:

  • Respond to your enquiry
  • Create a contact record in our CRM (HubSpot) to manage our business relationship
  • Send you information relevant to our services, where you have consented

We do not sell, rent or share your personal data with third parties for marketing purposes.

Legal basis for processing

We process your data under the following lawful bases (UK GDPR Article 6):

  • Legitimate interests — responding to a business enquiry you have initiated
  • Contract — where we have an existing or prospective business relationship
  • Consent — for any marketing communications

Data retention

We retain contact records in our CRM for up to 3 years from last contact, unless you request deletion earlier. Web server logs are retained for 90 days.

Third-party services

We use the following sub-processors:

  • HubSpot Inc. — CRM and email (servers in the USA; subject to Standard Contractual Clauses)
  • Calendly LLC — meeting scheduling (servers in the USA; subject to Standard Contractual Clauses)

Your rights

Under UK GDPR you have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate data
  • Request erasure of your data
  • Object to or restrict processing
  • Data portability
  • Lodge a complaint with the ICO: ico.org.uk
